Active and frequently used data is placed in the Vaultastic Active (Hot) store and is accessed using the ediscovery application. You have the option to move infrequently used and aging data to the Vaultastic Open (cold) store for long-term preservation.
Before this release:
Before this release, the process of moving aging data from the Active to Open Store was a manual process run at scheduled intervals. The activity involved identifying users (vaults) subject to the data rotation policy and creating jobs in the migration tool to move the data from the Active store. This activity required manual effort and tracking to ensure consistent outcomes.

To improve the UX, we automated this critical process in Vaultastic version 4.5 to boost productivity and reduce the chances of human-induced errors.
Setting up the storage automation
The setup requires you to perform two simple steps once and then monitor the progress via alerts.
1. Enable automatic storage management for the domain(s).
2. Decide the Active store’s retention period on email data as per your use case.
The automated process kicks in at the start of every month and copies mail older than the specified active store retention period, from the active store to the Open Store, and then proceeds to delete the same data from the active store. Learn more.
Using the legal hold to retain data on active store
On an ongoing basis, if any user is under the legal scanner, you can mark that user’s vault as “Legal hold.” This option will ensure that the automatic movement of data from the Active to the Open Store will skip the users marked with “legal hold” and retain their data on the Active store for easy on-demand discovery.
